How to Use Zoom to Create Personalized Conference Calls


Zoom is a free tool that can help teams connect with one another even though they may not be working together in the same location. The video conferencing tool can be used on smartphones, tablets or laptops with a webcam and microphone.

It also offers a number of additional features, such as sharing screens and files, and virtual background options. These tools can make the meetings more personal and engaging for participants. In addition, Zoom offers an app for mobile devices and desktop computers.

When scheduling a Zoom meeting, you must consider how many people you want to join in. The basic version allows up to 100 participants and 40 minutes of session time. For larger groups, you can upgrade to a paid plan that provides more meeting minutes and additional features.

In order to start a Zoom meeting, you need a computer with a webcam and a stable internet connection. Then, open the Zoom app and tap on the "New Meeting" icon that appears in your screen. From there, you can edit the meeting settings and copy the "Join" link to share via other communication platforms.

You can then use text, email or messaging apps on your smartphone to send the link to your participants.

If you are using Zoom for a group meeting, you can also add pages to the whiteboard. These can be useful for collaborative activities such as brainstorming or creating a mind map. To add a page, click the Page icon in the whiteboard toolbar at the bottom of your screen.

This will open a list of pages that are available to you. Click the page you want to add to the whiteboard, and then click "Done."

You can use Zoom's recording features to create a record of your meetings. The recorded files can be saved on your device or in the cloud. This can be helpful if you need to review the content of a meeting later on. To start a recording, select the "Record" icon in the Zoom toolbar and choose either "Record on this Computer" or "Record to the Cloud."

During a Zoom call, you can ask your participants to provide their name, company affiliation, industry or other relevant information. This will help you keep track of who attends your meetings. You can collect this information by logging in to your Zoom portal and editing the Registration field.

Sometimes unforeseen events can interfere with the planned meeting schedule. This could be public transportation being cancelled, children getting sick or other issues that prevent people from being able to get to the office.

With Zoom, you can still have a productive meeting by assigning a co-moderator to take over the call. This way, the meeting will not be interrupted and will continue in the same professional manner as planned. This is possible thanks to Zoom's intuitive video conferencing tools.

It is recommended to include a Zoom link in the calendar invite for any scheduled meeting to ensure that people can participate regardless of their location.
